Job Summary
We are currently looking for an experienced, self motivated and adaptable individual to assist in managing the office, supervise staff and handle duties for senior management. You will need to be efficient and comfortable being a member of a team, with the ability to multi-task, while maintaining complex schedules and managing administrative support. Resourceful, a good problem solver and well organised. Ensuring a steady completion of workload in a timely manner is key in this position.
Role and Responsibilities
General Duties
- Maintain office supplies by checking inventory and order items.
- Maintaining computer and manual filing systems.
- Provide information to internal colleagues or external enquirers.
- Handling sensitive information in a confidential manner including requests from management, other internal sources, or external sources.
- Taking accurate minutes of meetings where required and organising catering.
- Replying to email, telephone, or face to face enquiries.
- Develop and update administrative systems to make them more efficient.
- Create and update records and databases with personnel, financial and other data.
- Managing staff appointments where necessary.
- Booking conference calls, rooms, taxis, couriers, hotels etc.
- Raising and Checking POs
- Organising travel arrangements for senior management.
- Ensuring the rest of the staff has adequate support to work efficiently.
- Manage workflow by assigning tasks to other administrative employees daily, ensuring that deadlines are met, and work is completed correctly.
- Implement and monitor programmes as directed by management, and see the programmes through to completion
- Composing letters and emails on behalf of other office staff.
- Coordinating office activities and operations to secure efficiency and compliance to company policies.
- Support National Recruitment Manager (NRM) with administration of jobs boards
- Liaise with NRM and sites in connection with posting job adverts
- Gain authorisation for advertising spend
- Act of point of contact for External suppliers
Skills
- Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
- Ability to analyse and revise operating practices to improve efficiency.
- Detail-focused and comfortable working in a fast-paced office environment
- Ability to research, communicate and source materials with external companies.
- Exceptional communication skills
- Excellent organisation skills and dedication to completing projects in a timely manner
- Previous experience in a PA role required
